How a Real Estate Agent Sets-Up and Uses Prophet

This Guide takes a user step by step on how to launch and use Prophet for the real estate industry. It includes the basic tasks and activities of transitioning from using plain Outlook, to fully utilizing Outlook and Prophet together as a business relationship machine. This Guide does not detail all of the features of Prophet, but gives a clear understanding on how to start getting the most out of the product by using a real life example.

Let’s take Jane Martin, an experienced real estate agent who needs to track and organize her clients and prospects more effectively as well as reach out and strategically market to her contact base more often.

Step One – Outline Your Sales Process
Jane has never formally analyzed her sales process, but she has a very clear idea of the stages she goes through from meeting a potential client to closing a house or office space.
  1. Introduction - Jane receives referrals for from a number of sources:
    • Friends
    • Real Estate Office
    • Current Clients
    • Yellow Pages Ad
    • Networking Events/Business Associates
    • Other
  2. Interview - Once Jane speaks with a new client, she sets-up an interview in order to meet them in person and get details on what they are looking for. During the interview she connects them with a mortgage broker and gets the pre-approval for financing ready.
  3. Financing & Research - Research begins after the interview to find the right homes or office space for the client. These two tasks go on simultaneously so she doesn’t see a need to separate them into two steps.
  4. Showings - Determine times and dates for the client to view the potential properties.
  5. Offer – Fill out the paperwork and negotiate with the owners
  6. Inspection – Arrange the inspector and coordinate details of the process. Janes knows this is a critical time for the home buyer as Its their last chance to back-out of the deal without losing escrow money.
  7. Closing – Follow up and finalize any loose ends, keeping in touch with the clients. It usually takes 2 – 4 weeks after inspection.
  8. Follow-up – Congratulate the new property owners now the deal is done! Updating the new address and telephone number is in order.
