Avidian Introduces New Design and Features for Prophet CRM

Bellevue, Washington — December 1st, 2020 — Today Avidian announced various new features and enhancements to our Prophet CRM product, creating more value for our customers. 

As the first CRM fully integrated into Microsoft Outlook’s platform, Avidian continues to enable Outlook users to improve their experience, leading to high adoption and positive impact on their success. In the past few months, we have invested in significant improvements of our products and have accomplished the following: 

•  User Interface: Updated Prophet client user interface and controller to provide a fresh look and feel. 

•  Auto-Linkage: Provided users the ability to link emails, appointments, and tasks to contacts and companies so they can improve productivity and useability. 

•  Power Analytics: Provided easy-to-use and powerful tools to get key critical data to client fingertips and assist them with strategic decisions. 

•  Non-Administrator Installer: Streamlined Prophet CRM software installation with a faster and more flexible onboarding experience. 

•  General Tab and Data Type: Allowed clients to customize selected fields in the General Tab and added two new data types for all user defined fields. 

•  2nd Version of Mobile App: Following our mobile release on both iOS and Android in early September 2020, we have continued to improve our mobile app experience with bug fixes and enhancements.

Auto Linking a Contact’s Email to an Opportunity

One of the most useful features in Prophet CRM is the ability to Auto Link a contact’s email address to an Opportunity. This will allow all emails going through your inbox from those emails to be linked to and accessible from the Opportunity.

Each unique email address can only be Auto Linked to one opportunity at a time, if there is a contact associated with multiple active opportunities, you will have to pick one as the primary record that the emails will be linked to.

If you have a build older than 7.8.300, you will need to upgrade to the latest version otherwise you will only be able to Auto Link contacts one at a time.

Step One: Open up the opportunity record you would like to Auto Link the contact to.

Step Two: Click on the Contacts tab near the top of the Opportunity and check the box in the “Auto Link Emails” column for the contacts whose emails you would like Auto Linked. If the contact is already Auto Linked to another opportunity, a prompt will appear making sure you want to overwrite the previous link.

Step Three: Once you are done linking the contacts to the record, make sure to save the Opportunity to preserve the settings.

Step One: Open up the opportunity record you would like to Auto Link all the contacts to.

Step Two: Click on the Contacts tab near the top of the Opportunity and click on the “Auto-Link All” button. All contacts with an email address will have their “Auto Link Email” box checked. If the contact is already Auto Linked to another opportunity, a prompt will appear making sure you want to overwrite the previous link.

Step Three: Once you are done linking the contacts to the record, make sure to save the Opportunity to preserve the settings.

Congratulations! You’ve just Auto Linked contact to an Opportunity!

What’s new in this version?

  • Fifteen additional fields were added to the Products/Services tab in the Opportunity record. The fields can be configured as dropdown menus, date fields, and text boxes all customizable through www.ProphetOnDemand.com.
  • All fifteen additional Product/Service fields will be fully available through our API for integrations and reporting.
  • Fixed the data type display error for existing Group and Product/Service fields.

What’s new in this version?

  • During a full installation, the “Working Contact Folder (WCF)” prompt will be skipped for existing users who already have a WCF set.
  • Fixed an issue where a Right Click will show the spell checker on incorrect words and show the edit menu in the text box when the mouse is not hovering on misspelled words.
  • UI Pagination in www.ProphetOnDemand.com will be shown in Internet Explorer when ran in compatibility mode.
  • Fixed an issue where Outlook sometimes locks up when synchronizing your WCF.
  • Sales Assistant Automations set for a “0” day delay will be triggered immediately.
  • Adjusted the timeout for Prophet Dormant/Restored notification, selecting “Edit View” and Advanced Search fields.
  • Fixed a bug that sometimes caused the Prophet Contact Builder window to appear even when creating a contact in a folder not registered with Prophet.
  • Fixed an issue causing a false error message to appear when successfully assigning a record to a user.
  • Added the ability to turn access to the Standard Embedded Analytics Reports on or off for users through www.ProphetonDemand.com.
  • Fixed a bug that sometimes occurred when merging company records and the company name was not updated in Outlook.

Last Activity Report

Stay in touch with your best customers

The Last Activity Report provides the user with the last time any activity has occurred with a Prophet CRM company. The activity could have occurred with any Contact or Opportunity associated with the company.

Use Cases:

  1. See last interaction date with top-revenue accounts (Sort by Won Opp Revenue)
  2. See accounts with largest outstanding/Active Revenue and the date of last activity (Sort by Active Opp Revenue)
  3. See accounts which haven’t been touched in the longest period of time (Sort by Days Since Last Activity)
  4. See User’s last activity date (Sort by Last Activity User)

Report Specs:

  • Columns: Company Name, Days Since Last Activity, Active Opp Revenue, Won Opp Revenue, Last Activity Type, Last Activity User
  • All columns are sortable
  • Report can be exported to .CSV from Power BI Client

      What to use next after OCM?

      Microsoft’s Outlook Customer Manager (OCM) is coming to an end of its run as a lite CRM solution embedded in Outlook. Microsoft has published that it will cease to support OCM in June 2020.

      Outlook Customer Manager provided incredible benefit to firms in the the 1-5 CRM user space by allowing users to manage daily business sales and marketing operations through Outlook.       Contacts, Companies, and Deals

      Outlook Customer Manager and Prophet CRM follow a similar database format, categorizing individual records as Contacts, Companies, or “Deals/Opportunities.” The comparable format will allow for OCM users to easily transition information from OCM to Prophet CRM. Additionally, teams will not have to change the familiar language and processes to accommodate an unfamiliar solution.

      OCM users will be pleased to find that Prophet CRM offers a similar “Excel-like” interface where they can easily filter and select records. As with OCM, Prophet CRM provides the user flexibility to create multiple custom views to explore and recall information from the database.

      CRM Reporting – The Big Difference

      The primary differentiator between Outlook Customer Manager and Prophet CRM is the incredibly detailed pipeline and activity reporting Prophet CRM provides. Through Prophet CRM managers have access to traditional PDF-style reports or modern analytic reports to measure their team’s progress.

      Prophet CRM utilizes embedded Power BI, enabling users to see trends in their key metrics. These reporting tools enable sales and project teams to visually reflect KPI’s related to customer interaction, pipeline conversion, and team productivity towards goals.

      Mobile CRM

      Both Outlook Customer Manager and Prophet CRM offer mobile apps to assist teams on the go. OCM and Prophet CRM’s mobile applications are separate environments from the Microsoft Outlook mobile application.
