Check ‘Slow & Disabled’ Add-ins

This next step is for Outlook 2013 & 2016 only, if you are using Outlook 2010 proceed to the next step below entitled ‘Check ‘Disabled Items’’.

  1. Click the ‘File’ tab in Outlook.

  2. Click the box labeled ‘Manage COM Add-Ins’

  3. Under ‘Avidian Prophet’ click the button that says ‘Always enable this add-in’

  4. The button should now read ‘Disable this add-in’, click the ‘Close’ button.

  5. Click the back button.

  6. Click on the ‘Contact Manager’ folder, Prophet should now load. If it does not, continue on to the ‘Check ‘Disabled Items’’ step.

Check ‘Disabled Items’

  1. Click ‘File’ in the top left side of Outlook.

  2. Click ‘Options’. In the ‘Outlook Options’ window that opens, click the drop-down next to ‘Manage:’ and select ‘Disabled Items’.

  3. Click the ‘Go…’ button next to the drop down menu.

  4. In the ‘Disabled Items’ window that displays, if you see anything that mentions Avidian, Prophet, AvtAddin or mscoree.dll, select it and click Enable.

  5. Close and restart outlook. Prophet should now be working.

Run ConfigureProphetClient.exe

  1. Close Outlook.

  2. Click on the Windows Start Icon and select ‘Computer’ (Windows 7), ‘This PC’ (Windows 8) or ‘File Explorer’ (Windows 10). Then navigate to – Local Drive C:’ > ‘Program Files’ > Avidian Technologies’ > Prophet

  3. Double-click the file entitled ‘ConfigureProphetClient.exe’

  4. Click ‘OK’ in the window that opens up.

  5. This step may have resolved the issue so relaunch Outlook and click on the ‘Contact Manager’ folder to see if Prophet loads. If it does not, continue to the ‘Check ‘Slow & Disabled’ Add-ins step.

What Changes Are Needed After We Migrate Our Mail Server

These steps should be followed immediately after the migration to Office 365 is completed. Although the majority of the work done in an email migration is handled at the server level, this procedure should be executed on each individual system that has the Prophet Add-in installed to ensure the Prophet client’s ‘Working Contact Folder’ is pointed to the new location on the Office 365 server. The names of the folders might be the same and the file path might appear to be exactly as it should but the GUID will be different in the new hosted environment and Prophet may have trouble updating existing or saving new records.

Create a Temporary Contacts Folder

  1. Select Outlook contacts with a left-click on ‘People’ or ‘Contacts’ depending on your version of Outlook

  2. Right-click on the Contacts folder and select ‘New Folder’ from the dropdown. Name the folder ‘TEMP’.

Set Prophet to the ‘TEMP’ Folder

  1. Left-click on ‘Mail’ in the lower-left of Outlook and then click the ‘Contact Manager’ folder. Once Prophet loads click the blue colored wrench icon next to ‘Tools’.

  2. In the Prophet Administrator window that opens up take note of the name in the field below the ‘Working Contact Folder’ button, we will need it later. In this screenshot the folder’s name is simply ‘Contacts’ yours’ may say something else.

  3. Next, click on the ‘Working Contact Folder’ button.

  4. In the ‘Set Working Contact Folder’ window that opens up, click the ‘Refresh’ button (two arrows pointing in a circle) first.

  5. Wait for the view to be updated then put a checkmark next to the ‘TEMP’ folder then click ‘OK’.

  6. Click ‘Yes’ to register the folder and then click ‘No’ when prompted to sync. Then click ‘Close’ on the Prophet Administrator window.

  7. Unregister the folder from Prophet

    1. Click the ‘Edit View’ button.

    2. Click the drop-down menu next to ‘Select Contact By:’ and choose ‘Contact Folder(s)’ if it is not chosen already.

    3. Click on the name of the folder we took note of earlier to highlight it in blue, then click on the ‘Exclude’ button.

    4. Click ‘Yes’ to the prompt that pops up.

    5. Click ‘Cancel’ on the ‘Contact View Options’ window.

    Re-register the folder to Prophet

    1. Click the ‘Tools’ button again.

    2. Click the ‘Working Contacts Folder’ button again.

    3. In the ‘Set Working Contact Folder’ window put a checkmark next to the folder we took note of at the beginning of these steps. This is the same folder we just excluded.

    4. Click the ‘OK’ button’.

    5. Click ‘Yes’ to register the folder.

    6. Click ‘No’ if you are prompted to sync the folder.

    7. Then click ‘Close’ on the Prophet Administrator window.

    Exclude the TEMP folder

    1. Click the ‘Edit View’ button.

    2. Click the drop-down menu next to ‘Select Contact By:’ and choose ‘Contact Folder(s)’ if it is not chosen already.

    3. Click on the TEMP folder name to highlight it in blue, then click on the ‘Exclude’ button.

    4. Click the ‘Cancel’ button.

    5. Finally, try creating a new contact record or modify an existing one. If you are able to save the new contact or save the changes you made to an existing contact record this process was successful.

How to Enable Prophet to Find EMails, Appointments and Tasks in a Shared Folder for Activity Search

Show Public Folders

  1. In Outlook Mail, click “Folder List”. If that’s not shown, click the Folder icon. In Outlook and 2013 and later, click Folder the ellipses (…)

Add Folders to Favorites

  1. Scroll down if needed and expand “Public Folders”

  2. Expand “All Public Folders”

  3. Expand your Prophet Department’s folder until you find your correct Public Folder. In our example that is “002 – Client Services PM (Project Record)”

  4. Right click on each of the sub-folders, Calendar, Emails, and Tasks, then click Add to Favorites.

  5. Continue to add the other two. Expand your Public Folders Favorites, and you will see them.

  6. Change settings to “Download Public Folder Favorites”

    1. In the upper left of Outlook, click File.

    2. Click the Account Settings box, then the Account Settings choice.

    3. Click the Data Files tab.

    4. Double click the line that has the black checkmark.

    5. Click the Advanced tab.

    6. Check all the “Cached Exchange Mode Settings” boxes. The first two might already be checked.

    7. Restart Outlook as requested.

    8. Outlook will copy the Emails, Appointments and Tasks to your Favorites. This could take an hour or more depending on how many there are.

    9. And once that’s done, Window’s Index needs to be update. This will occur automatically, but it might also take a significant amount of time. To speed up that process, you can rebuild it.

    10. Rebuild Window’s Indexing Options.

      1. Click Start, type “Index”. Click “Indexing Options”

      2. Click Advanced. Click Rebuild. Click OK.

      3. This process could take several hours. I recommend starting it before you leave for the day. You can lock your PC, but don’t log off or shut down.

How Do You Restore the Prophet Ribbon

Follow this process if you are missing the Prophet tab at the top of Outlook.

Check ‘Slow and Disabled’ Add-ins

  1. For Outlook 2013 and 2016 click Outlook’s File menu at the top left. If one of the lower square buttons is Manage Add-Ins “Slow and Disabled” is shown, click it.

  2. If any named Avidian or AvtAddin show an “Always enable this add-in” button, click it.

  3. Close all Outlook windows, restart Outlook, and check if the Prophet tab is visible.

Check ‘Disabled Items’

  1. For Outlook 2010, 2013 & 2016

  2. Click ‘File’ in the top left side of Outlook.

  3. Click ‘Options’. In the ‘Outlook Options’ window that opens, click the drop-down next to ‘Manage:’ and select ‘Disabled Items’.

Reinstall the Prophet Ribbon

  1. If the Prophet tab is still not staying there, close all Outlook windows, open Windows explorer (aka File Explorer, My Computer, etc) and go to:
    C:\Program Files\Avidian Technologies\Prophet

  2. Double click AvtAddin2010, which shows its file type as VSTO.

  3. If you get no errors, open Outlook and check if the Prophet tab is there.

  4. If you get an error, even if it says that .NET isn’t installed, please install Visual Studios 2010 Tools for Office Runtime:

  5. Run C:\Program Files\Avidian Technologies\Prophet\AvtAddin2010.vsto again.

  6. Open Outlook and test.

Restoring the Prophet Outlook Ribbon

Issue: Prophet Ribbon does not show up at the top of either Outlook or Outlook Contact card.

Prerequisite: Prophet must be installed and functional.

You will need to run two executable files located in C:\Program Files\Avidian Technologies\Prophet to restore the ribbon. **Note** If you copy and paste C:\Program Files\Avidian Technologies\Prophet into the Windows explorer address bar, it will take you directly to the installation file.

  1. Close Outlook

  2. In the folder above, locate this file: AvtAddin2010.vsto.

  3. Run this file by double clicking it.

    NOTE: If you get an error when attempting to run this file you will need to install the following Windows update: (http://www.microsoft.com/en-us/download/details.aspx?id=44074) titled “Visual Studio 2010 Tools for Office Runtime”. If the link above is no longer active, search the web for “Visual Studio 2010 Tools for Office Runtime download” to locate it.

  4. Find “ConfigureProphetClient.exe” in the same folder and run it by double clicking the file name.

  5. Close the folder.

  6. Open Outlook, then open Prophet. The ribbon will now be up and running.

Updating Prophet’s Working Contact Folder

Create a Temporary Contacts Folder

Select Outlook’s “Contacts” folder and click “New Folder”.

Name it Prophet Temp.

Set Prophet to the Temp Folder

Select “Outlook Mail”, then select “Contact Manager”. Click Prophet’s “Tools” button and open “Prophet Adminsitrator”.

From the “General” tab, note which folder is listed under the “Working Contact Folder” button. Next, click the “Working Contact Folder” button.

Click the “Refresh” button (blue chasing arrows).

Check the box for the Prophet Temp folder. Click “OK”, then click “Yes” to register that folder. Then click “No” to synchronize it. Finally, click “OK” to close the “Set Working Contact Folder” page.

Close the Prophet Administrator window.

Create a View to Use to Synchronize and Unregister Old Folders

With “Contact Manager” selected, click inside the “View” name box. Next, click “Tools”, then click “Create New”. Name it “Contact Folder for Sync ONLY”.

Change “Select Contact by” to “Contact Folder(s)”.

Select each line (whether checked or not) except “Prophet Temp”, and click “Exclude”. Continue until all rows except “Prophet Temp” are gone.

Save and close.

Set Working Contact Folder

Select “Contact Manager”, then click Prophet’s “Tools” button to open “Prophet Administrator”.

This time, check the box for your actual preferred Working Contact Folder.

Or if your company uses a public contact folder, check “Show Public Folders” and check the box for that folder.

Once selected, Click “OK”, click “Yes” to register, and “No” to synchronize (you may not get this prompt).

Synchronize the Local Contacts Folder

Select “Contact Manager”. Click inside the “View” name box and select the “Contact Folder for Sync ONLY” view.

Now click the “Tools” button and select “Resync Data” and then “Resync Contact Data”.

This resync can take from one second to 30 minutes depending on how many contacts you have, your Internet upload speed, proximity to the mail server, etc.

Once completed, change your “View” to whatever you prefer.

How do I fix a red or black x in contact, company or opportunity manager?

  1. Close Outlook

  2. Click on Start Button (or tile view for Windows 8)

  3. Select Computer

  4. Select C: drive

  5. Select Program Files

  6. Select Avidian Technologies

  7. Select Prophet

  9. Run “Avidian.bat” file (double click on file to run it)

    • Allow to run.

    • Select Yes.

  10. Select x32 folder

  11. Select “Register.bat” file

    • Select Yes (if prompted)

  13. Close Prophet Window.

  14. Open Outlook.

Why is Prophet disabled?

If Prophet appears to be inactive or disabled in Outlook, follow the steps below to re-enable/activate Prophet.

Avidian Prophet CRM: Prophet is Disabled View

Step 1: Check Outlook Add-ins

Other programs will inadvertently de-activate the Prophet Outlook add-ins. You can easily check and re-enable the Prophet Outlook add-ins as follows:

For Outlook 2010 or 2013

  • In Outlook, click File in the top left side.

  • Then click on Help > Options > Add-ins

  • At the bottom of the window you’ll see a drop-down menu. Click on that and set it to Disabled Items and then click the GO button.

  • If you see anything that mentions Avidian, Prophet, or MSCOREE.DLL, select it and click Enable.

  • Close and restart Outlook. Prophet should now be working.

For Outlook 2007

  • In Outlook, click Help > Disabled Items and the disabled items window will pop up.

  • If you see anything that mentions Avidian, Prophet, or MSCOREE.DLL, select it and click Enable.

  • Click Tools > Trust Center > Add-ins > GO.

  • A check-list will pop up. Locate Prophet and put a check-mark next to it and click Ok.

  • The Prophet toolbar should appear in Outlook. Prophet should now be working.

For Outlook 2003 or earlier

  • Click Help > About Microsoft Office Outlook > Disabled Items and the disabled items window will pop up.

  • If you see anything that mentions Avidian, Prophet, or MSCOREE.DLL, select it and click Enable.

  • Close Outlook and restart it.

  • The Prophet toolbar should appear in Outlook. Prophet should now be working.

Step 2: Reset the registry files

If re-enabling the Prophet Outlook add-ins did not re-able Prophet, you may need to reset the Prophet Registry files by performing the following:

For Windows Vista, Windows 7, or Windows 8:

  • Click on the windows icon > ‘Computer’ > ‘Local Drive C:’ > ‘Program Files’ > ‘Avidian Technologies’ > Prophet. Close Outlook and disabled your anti-virus and follow these steps.

  • Locate the registry file Avdian.reg

  • Double click Avidian.reg. A window will pop up. Click ‘Ok’ and when the window goes away proceed with the next steps.

  • Locate register.bat. For Prophet 5 users, this file will reside the same directory as Avidian.reg. For Prophet 6 users, you will need to know if your PC is using an X32 or X64 bit operating system. If your PC is running a X32 bit operating system, navigate to the X32 subfolder. If your PC is running a X64 bit operating system, navigate to the X64 subfolder. Double click the register.bat file. A window will pop up. When the window goes away open outlook and test opportunity manager.

If you are a Prophet 6 customer, please stop here. Prophet 5 users should perform the following two steps:

  • Locate AVTSQLInstaller.exe and RIGHT CLICK it. Select ‘Run As ADMINISTRATOR’. A window will pop up then disappear. This may take a few minutes. Don’t worry.

  • Locate Updatedb.exe and RIGHT CLICK it. Select ‘Run As ADMINISTRATOR’. You won’t see anything happening but you should wait 4 minutes. Open outlook and test opportunity manager.

For Windows XP:

  • Click on ‘Start’ > ‘My Computer’ > ‘Local Drive C:’ > ‘Program Files’ > ‘Avidian Technologies’ > Prophet. Close Outlook and disabled your anti-virus and follow these steps.

  • Locate the registry file Avdian.reg

  • Double click Avidian.reg. A window will pop up. Click ‘Ok’ and when the window goes away proceed with the next steps.
