The Discovery & Design phase is broken up into two parts; a discovery meeting focused on process mapping your real-world procedures, and a design meeting focused on translating that knowledge into your Prophet CRM system.

Discover and process map your world
We LOVE flow charts!
To best communicate how your firm operates and which process elements rely upon each other we will want to create a flow chart. For example, if your reps must estimate a job before they quote it, we will want to understand how that process works.
We find that creating a flow chart to illustrate these processes is the best means of communication. Once we have a solid map we can begin to overlay Prophet CRM to compliment your business processes.
Remember! Prophet CRM should reflect real life, not the reverse!
Translate Draft Process to Example Prophet CRM System
Now we are ready to introduce how Prophet CRM can mirror your real-world processes. We’ll tour you around a fully-realized demo system and explain how the process map will be reflected in user procedures.
Homework for next meeting
If we are unable to complete the high-level process map in the Discovery meeting we will look to have that completed by the top of the next meeting.
Remember! The process map should only focus on your processes. We will help and consult with the best way to apply Prophet CRM functionality to those processes.

Review Completed Process Map
At the top of the Design Meeting we will review and finalize the business process map from the prior meeting. Once that has been completed we’ll begin to mold your system!
Review Prophet CRM Admin Tool
The Admin tool is the primary mechanism for system administrators to customize the Prophet CRM tool. We will review how to make changes within the admin tool and how those changes are reflected within the Prophet CRM system in Outlook.

Begin System Customization and Testing
Once we have established a foundation for utilizing the admin tool we’ll be ready to begin forming your custom Prophet CRM system. The processes and internal systems that make your business unique will begin to be reflected in Prophet CRM, ensuring that your end-users will feel ‘right at home’ when using.
Homework for next meeting
If we do not complete the system customizations prior to the end of the meeting we’ll want to have the Project Coordinator complete this element before the next meeting. We’re always around to answer questions and assist, so don’t hesitate to reach to your Avidian Project Manager!
