Lists

Lists are Prophet CRM data displayed in a list view.  They are viewed in the Prophet CRM portal which opens directly from Outlook.  All users are equipped with the default lists ‘All Contacts’ and ‘All Companies’.  Users can create as many lists as they need to keep track of Contact and Company segments.

View Existing Lists

From the Prophet CRM Outlook Sidebar

  • Select the ‘Lists’ tab in the Prophet CRM Outlook Sidebar
  • Select ‘Open List Home’

From the Prophet CRM Portal

  • Open the Prophet Portal and navigate to the ‘Home’ section
  • Select the ‘Lists’ option on the home page

Creating and Editing Lists

Creating a New List from the Sidebar

  • Select the ‘Lists’ tab in the Prophet CRM Outlook Sidebar
  • Select the ‘Create a New List’ button
  • Choose whether you would like your new list to be for ‘Companies’ or ‘Contacts’
  • In the ‘List Editor’ screen
    • Name your list
    • Choose the columns you would like to have present
  • Select ‘Save’ in the List Editor

Creating a New List in the Prophet Portal

  • Open the Prophet Portal and navigate to the ‘Home’ section
  • Select the ‘Lists’ option on the home page
  • Select the ‘Create New List’ button in the top right section.

Choosing List Columns

  • Open the list you would like to change columns for
  • Select the ‘Edit’ button in the top-right hand side
  • The left-hand column will display available properties which can be dragged over to the right side
  • The right-hand ‘Properties in List’ column has the columns currently in the list which can removed with the ‘x’
  • Once the correct columns have been chosen select ‘Save’

Filtering Lists

  • Open the list you would like to filter
  • Ensure that the criteria you would like to filter by is visible in the list as a column
  • Select the filter button on that column, opening the filter pane
  • Enter the Conditions for filtering and then select ‘Save’

Copying an Existing List

  • Open the list you would like to make a copy of
  • Select the ‘Duplicate’ list button in the top-right
  • Optional: Rename your list, the default name will be “ListName(Copy)”

Deleting Lists

  • Open the ‘List Home’ in the Prophet CRM Portal
  • Select the ‘trash’ button next to the list you want to delete.
  • Confirm that you want to delete the list.  Deleting the list will only remove the list, not the profiles it contains.
